Corporate Payroll Services Important Year-End Deadlines

With the end of year quickly approaching, Corporate Payroll Services would like to highlight important information including year-end deadlines for all units and employees to take note of. As a result, we will need your assistance with meeting these critical deadlines.

Holiday Payroll Schedule

Christmas Week

2021 BW 26 RPCALC

During this week, Corporate Payroll Services will observe all regularly scheduled deadlines found on the payroll website (Schedules | Corporate Payroll Services | Duke).

2021 BW 26 Pay Day is 12/30/2021

Offcycle Calc

The last offcycle check processing for 2021 is schedule for Tuesday, December 21, 2021. Please ensure all prior period offcycle requests needing to be paid in 2021 are received by Corporate Payroll on Monday, December 20, 2021 at 12noon. All offcycle checks will be mailed on Wednesday, December 22, 2021, to the employee’s mailing address on file.

**There will be NO offcycle processing the week of 12/27/2021**

New Year’s

In support of the designated holiday for New Year’s, we have changed the Time and Attendance and Electronic Time Card closing schedules for the biweekly pay period ending January 1, 2022 (Pay Period 01-22). The revised schedules are included below.

Biweekly Time and Attendance and Electronic Time Card Lockdown:

  • Tuesday, January 4, 2022 8:00 AM employee lockdown
  • Tuesday, January 4, 2021 12:00 PM system lockdown

Biweekly Gross Adjustments/Paper Time Card Deadlines

  • Wednesday, December 29, 2021 – Prior Period Gross Adjustments and Prior Period Paper Time Cards
  • Tuesday, January 4, 2022 3:00 PM - Current Pay Period Gross Adjustments and Paper Time Cards

The first offcyle check processing for 2022 is schedule for Tuesday, January 4, 2022, Therefore the deadline to submit all prior period offcycle requests will be Thursday, December 30th at 12noon. All offcycle checks will be mailed on Thursday, January 5, 2022, to the employee’s mailing address on file.

Time and Attendance users may access their time card at their convenience (24 hours a day, seven days per week).

Electronic time card users may access their time card at their convenience (24 hours per day, seven days per week).

As a reminder, paper time cards should only be used as a result of the following circumstances:

  • Late paperwork for hires
  • Establishment of late secondary positions
  • Late transfers
  • Unresolved Critical Error Messages in Time and Attendance System

The Electronic Time Cards and/or the Time and Attendance systems are the mechanisms to be used for recording time. If you are submitting paper time cards for reasons other than late paperwork or unresolved critical error messages in the Time and Attendance System, please contact Corporate Payroll Services prior to the submission of a paper time card.

Please take this opportunity to remind supervisors that the approvals can be completed by using the Duke Mobile App. This is a convenient option in the event supervisors are traveling or in an offsite location during the approval window.
