Electronic Time Reports: Severe Weather Period for Feb 15

Duke University and Duke University Health System have designated the severe weather timeframe for the period of Monday, February 15, 2016, 7:00am through 5:00pm. In accordance with the severe weather policy, all hourly paid staff in positions classified as essential service who worked during the designated period will receive severe weather premium for the entire shift. If your department records time using the Time and Attendance system, please use the instructions included in the Time and Attendance communication.

Since only employees in positions categorized as essential service are eligible for the 10% premium, please provide to Corporate Payroll Services a list of all hourly paid employees classified in essential service positions who should receive the severe weather premium. The list should be in an Excel spreadsheet and must include the employee’s name and Duke Unique ID Number.  The Corporate Payroll Staff will record the premium for these employees. This list should be emailed to payroll@duke.edu

Please note that departmental managers who have employees working in positions covered by a collective bargaining agreement should refer to their agreement for the process related to severe weather.

Those employees who were scheduled to work during the severe weather period and did not report to work may record vacation, if they are eligible for time off. With regard to the grace period as noted in the policy, when a non-exempt staff member arrives within one hour of the start of the shift, pay will be provided from the shift start time. In order to properly reflect the pay, the staff member should include the additional time in the time worked for the specific day.
