Electronic AP Check Request Initiative Go-live

June 3, 2013

We are excited to announce that we are officially live with the new online Accounts Payable check request process.  We believe that you too will be excited about using this new tool.  As a reminder from previous communications, this initiative will provide enhanced administrative efficiencies across the University and Health System, while also enabling transparency to support workflow tracking, approvals, and corresponding payments initiated from Accounts Payable check requests.

Over the last two weeks we provided training for approximately 600 individuals. For those of you who were not able to attend, we will host two additional training sessions.  To sign-up for one of these classes please use either of these links: Electronic Accounts Payable Check Request: Go-Live Training or I Need A Check! - Accounts Payable Check Requests.  This training session is not required.  Many of our participants have been very comfortable using the power point as a reference.  The power point presentation along with training videos will be posted on the Corporate AP website within a week.

The setup has been completed for all check request submitters and approvers based on information received to date for the University, including the School of Medicine.  You may have received communications from your management center contact regarding this process.  Many areas have centralized processing for these types of payments; therefore, no changes may be applicable for your areas.  If your area has not been contacted and you believe that you should have been, please contact your business manager.  If any business managers have not received information, they may send an email to APOnlineCheck@duke.edu

We are still working with several areas of the Health System, including Duke Hospital, to obtain setup information.  We will notify the applicable areas upon completion.

As a reminder during this transition period, we will continue to accept paper check request forms. We will distribute a communication when we will discontinue this process.

If you have any questions or need to report any issues or problems, please use the email address APOnlineCheck@duke.edu
