Time and Attendance is a web based system that automates the collection of hours you work.

Time and Attendance ...

  • is an electronic payroll system that allows the input of time worked as well as any Paid Time Off (PTO) hours.
  • is a system that electronically transmits all recorded time to Corporate Payroll.
  • allows online approval of time reports by managers.
  • is a system that permits employees to check PTO balances and hours worked either online or by phone.

It electronically distributes and routes employee time card reports, thus eliminating the need for printed time cards. Since information is conveyed in real time, supervisors have access to time card information as the activity occurs and can use Time and Attendance to view and/or edit employees' time card reports throughout the pay period. In addition, some supervisors will be designated to approve the time card reports at the end of a pay period.

Approvers and editors are assigned roles in the Time and Attendance System and given access to the employees who time cards they edit and/or approve. Training is required before access is granted.  Approvers and editors who will be editing time cards must complete training for time card editing. Additionally, editors must complete training for time card approval.

It is important that employees that use this system swipe in and out at a badge reader located in various locations at the appropriate time to properly record time worked. This includes learning the float and/or to enter special codes at the badge reader as directed by the manager. In addition, under manager recommendation, employees can or should learn how to use TimeCall, TimePC, and for Health System users, scheduling for time record keeping, training, and scheduling.

To ensure accuracy and records, it is very important that employees adhere to all attendance and scheduling policies within their department.

Time & Attendance Managers

This guide is designed for managers to review with employees prior to and/or in conjunction with the launch of the time and attendance upgrade. This includes acting on calendar and clocking requests and working with employees to address exception messages. In smaller departments, often the time card approver is also responsible for editing time cards while in larger departments the role of editor and approver are filled by two different people.  Time and Attendance Training for Editors and Approvers with Editing Responsibility is required for editors and approver who have time card editing responsibilities.

The Time and Attendance System is a web-based technology that is used by Heath System and some areas of the University and the School of Medicine to enter, edit and approve time for non-exempt employees. Additionally, it is the system for tracking PTO for monthly Health System employees. The online learning outlined below, reviews how to use the Time and Attendance System if you are an employee. While not required, employees are STRONGLY ENCOURAGED to watch the online learning below and to review departmental policies regarding time reporting as part of the orientation process when they are hired or transfer into a department that uses the Time and Attendance System.
