• Maintain the accuracy and integrity of master payroll data which is utilized by various Corporate Payroll programs and entities throughout Duke University and Duke University Health System.
  • Issue checks for three payroll areas:  Monthly includes salaries and wages for exempt employees , Biweekly payroll includes salaries and wages for non-exempt employees, and Non-compensatory Payment System – includes payments for fellowships and scholarships that do not require services.
  • Process financial postings to the general ledger for each of the payrolls to ensure proper distribution of payments, and corresponding fringe benefit charges, if applicable, to the appropriate funding sources.
  • Execute voluntary payroll deductions as authorized by staff members (credit union, health and dental, etc.) or legal authorities (garnishments, tax levies, etc.) and remit these deductions to the appropriate vendor or agency.
  • Run, balance and distribute IRS Forms W-2, 1042S and 1099 as required.
  • Respond to wage verification requests from financial institutions or governmental agencies (Social Security Administration etc.).
  • Coordinate the resolution of salary payment discrepancies.
  • Prepare and distribute written communications or conduct training seminars for department payroll representatives, and management to disseminate information regarding payroll related policies and procedures.
  • Maintain accuracy and integrity of year-to-date earnings by processing monthly adjustments.
  • Resolve outstanding items on payroll account reconciliations, including: bank accounts, internal accounts for miscellaneous deductions and federal, state and FICA tax accounts.
  • Maintain accurate and current data for administering policies regarding payments to foreign nationals being paid through the compensatory and non-compensatory systems. Communicate changing regulations to departments and individuals.
  • Promptly respond to all IRS or other governmental agency inquiries to ensure proper reporting and credibility with federal agencies.
  • Interpret and implement new regulations as directed by federal, state and local agencies and Duke University or Duke University Health System corporate governance.
