Note IRS regulations stipulate contributions sent by private carriers must be recorded based on Duke’s date of receipt, whereas gifts sent through the US Postal Service can be recorded based on the postmark date.

 

Directions for physical delivery of gifts AND PLEDGES (DUKE FACULTY/STAFF ONLY):

Faculty and staff should deliver gifts and pledges to University Cashiering either directly, or by using the using the drop safe in the Bryan Center.

Please note the following procedures for gift deposits:

  • Complete the Gift Deposit Form listing check and cash totals for gifts.
  • Make copies of all check gifts.
  • Redact the MICR line (the account, routing, and check numbers on the bottom of the check) on the copies.  Do NOT redact the MICR line on the live checks!
  • Prepare a Gift Transmittal Coversheet and attach check copies and gift backup.
  • Make sure the following information is provided for each gift:
    • Fund code or designation
    • If applicable, premium/non-gift amount and detail of what donor received
    • Provide total amount of checks/cash on transmittal
  • Prepare separate forms (both Gift Deposit and Gift Transmittal) for checks drawn on banks outside of the US.

University Cashiering will deposit checks and cash to ADR’s clearing account.  Credit card information, pledges and gift backup will be securely transferred to ADR for entry on DADD.

University Cashiering (Bay 8, Smith Building)

University Cashiering provides over-the-counter service during business hours, from 8:00 AM to 4:00 PM, Monday through Friday, in Bay 8 of the Smith Building (114 South Buchanan Boulevard).  DukeCard access is required on the North side of the building.  Visitors can access the South side without a DukeCard during normal business hours.

Drop Safe in THE Bryan Center

Sealed deposit bags may be placed in the drop safe located on the lower level of the Bryan Center next to the Post Office.  This area is under camera surveillance.  For each deposit, please complete the log on the counter next to the drop safe.  Items left here will be delivered to University Cashiering for processing.  You will need your DukeCard to enter the Bryan Center.
