2016 W-2 Distribution Update
The dates for the distribution of both electronic and paper W-2 forms are included below.
We anticipate that the Electronic W-2 forms will be available no later than Friday, January 20, 2017. Each employee who opted out of paper W-2 forms will receive an email notification when the W-2 form is available for viewing. The email will include a link to the online form. For those employees who do not have an email address but have earnings for calendar year 2016, the online form will be available through the MyInfo tab under the MyPay section of Duke@Work.
As a reminder, in support of our security initiatives, accessing the W-2 form requires entering the last four digits of the social security number.
Monday, January 23, 2017 – Paper W-2 forms will be distributed to departmental Payroll Representatives for biweekly and monthly employees. W-2 forms for all employees who elected to receive a paper copy will be mailed by Org Key to the Department Heads. Please note that this is the same process used for biweekly and monthly check distributions.
Departments that normally pick up payroll checks at 705 Broad Street may pick up the W-2 forms at 8:00 AM on Friday, January 20, 2017 in the usual location. Please note that the monthly checks will be released on Wednesday, January 25, 2017 as scheduled. As a reminder, please bring picture identification. If someone other than the payroll representative or department head elects to pick up the W-2 forms, he or she will need a note of authorization as well as picture identification.
W-2 forms for inactive and terminated employees were mailed to the home addresses recorded in the Payroll system on Wednesday, January 11, 2017.
