Corporate Payroll Services Updates

In our efforts to streamline business processes and minimize the number of email notifications and reminders, the Corporate Payroll Services team will discontinue the individual email notifications regarding unapproved time cards.  This process will be implemented on October 3, 2016 for the biweekly pay period ending October 2, 2016.  The automated email notifications will remain in place and are referenced below.

Email Notifications

6:00pm on Monday evenings following the pay period close:

  • All approvers will receive a list of any unapproved timecards.
  • Departmental Payroll Representatives managing Electronic Time Cards will continue to receive a list of any unapproved time cards.  Payroll representatives should follow up with approvers to ensure process is completed timely.
  • Department Payroll Representatives managing Time and Attendance records do not receive email notifications due to the reports available in the tool.

Available Reports

  • Unapproved Timecard Report on the Duke@work portal using the iForms – Reporting options – used for Electronic Timecard users
  • Unapproved Time Cards using the Custom Reports section for Time and Attendance users

Please note: If a timecard is not approved, a paper time card must be completed with employee/management signatures and submitted to Corporate Payroll by 3:00 pm on Tuesday after the pay period close. Any applicable premium payments must also be included as well.

DUHS Paid Time Off (PTO) Cancelled Requests for Exempt Employees

Please note that time off balances for unapproved cancelled requests will be adjusted accordingly by the Corporate Payroll Services team.  As a result, it will be very important to approve all exempt employee time off records in the Time and Attendance tool to ensure all balances are properly reported.
